RingCentral: Sending and Receiving Fax Messages
HPG no longer supports the utilization of analog/traditional fax lines. Instead we have opted for digital faxing services through e-FAX, which provides a secure and compliant faxing service used by accounting, and RingCentral. Every extension in RingCentral provides e-fax services, and is capable of both sending and receiving fax messages through the RingCentral applications. This guide focusses on utilizing RingCentral for faxing services.
To begin, ensure that you have the RingCentral app installed or are able to login to RingCentral. You can install it by going to https://app.ringcentral.com, where you can access your extension or download the RingCentral application for your computer.
When going through this guide, remember that your direct phone number is your fax number.
To send out a fax - RingCentral App:
- Open the RingCentral App
- If prompted, sign in
- From the left Navigation bar, click Fax
- Click the + sign next to Fax
- Enter the fax number for the person or company the fax message is being sent to.
- Select a Cover Page for your fax. (note: Cover pages are useful when sending to a company or number that is shared by a group of people. It details from, to, and additional information that can help the recipient sort and distribute the fax message upon arrival. No cover page is an option.)
- Click the paper clip icon to select files to attach.
- Browse to the location of your file or files that you want to fax. You can select 1 or several files. You can select images or PDF files to attach. (note: to select multiple files you can press and hold Ctrl while you single click on the files you want to attach to the fax). Click Open to attach the select file or files.
- Click Send now to send the fax message
After clicking Send now, RingCentral will upload the attachments and send your fax message. The recipient will receive the message in the same manner they normally receive faxes, either via fax machine or through and e-fax service similar to RingCentral.
Receiving Fax Messages
Receiving Fax messages is simple. You have two ways of retrieving and reading messages.
If you need to receive a fax message, provide your direct number to the contact and have them send the fax to that number. For example, if my direct number is 8017279395, I will provide this to my contact as my fax number.
1. Via Email - By default, RingCentral is configured to email received fax messages direct to employees. The fax message is attached to the message the employee receives. Fax Messages will come from notify@ringcentral.com.

2. Via the RingCentral App - Open the RingCentral App and go to Fax. You will see a Received option, go to Received and view the Fax message.
