OneDrive for Business: Share Folders or Files to External Vendors and Customers
OneDrive for Business allows you to share folders or files with an external contact, granting them the ability to view and download files without having to deal with the hassle of email limitations.
This guide will show you how to permit your external contacts view and download only capability.
- Upload or Place the files or folders you wish to share into your OneDrive.
- In Windows, go to File Explorer
- In File Explorer, in the left side pane, you should see a folder with your Name and the name of the company. Example: If your name is Jordan, I should see a folder named "Jordan - HPG Brands" and that folder will have Blue Cloud icon.
- To upload a file or folder to OneDrive, place the file or folder within this folder or subfolders
- It may take a few minutes to complete the upload of the file or folder. The larger and more files your are uploading, the longer it will take. Once upload is completed, you will see a green checkmark in the Status column of file explorer.
You may now procede with sharing the files
- Right click on the file or folder you are sharing. Then hover over OneDrive and click on Copy Link
- In the below example, I want to share the folder BitTittan, I right click, and go to OneDrive > Copy Link
OneDrive's share dialog will display, and state that the link was copied. DO NOT CLOSE this window, there are a couple more things to do.
- Click Settings in the OneDrive share dialog window
- Select "Anyone" from the list of people to share the link with. And click Apply
The dialog will now state "Link Copied" and the description will state "Anyone with the link can view"
- Before doing anything else, open Outlook and compose a message. In the body of the message right click and select Paste
This will paste the link of the shared folder or file into the email message.
Note, you can also press Ctrl + V to paste the link.
