Microsoft Teams: Camera Not Working
Issue: Microsoft Teams fails to activate camera during meetings. Solution: Microsoft Teams can recognize the camera without additional steps. However, if you cannot start a video conference, you may be experiencing settings problems related to the camera. To configure the camera settings on Microsoft Teams, use these steps: 1. Open Microsoft Teams. 2. Click the main menu (three-dotted) button from the top-right corner. 3. Select the Settings option. 4. Click on Devices. 5. Under the "Camera" section, use the drop-down menu and select the correct camera. 6. Confirm with the preview to make sure the camera is working. Once you complete the steps, make a test call or call someone to determine whether the camera is working.

Microsoft Teams: Create and Setup a New Team
Teams can be created and setup by any employee without the need to involve IT. The process is relatively easy and straightforward. The reasons for creating a new team varies, here are some common reasons: Project Management Team Collaboration Group Management Planning Managers and supervisors are encouraged to create Teams groups for their employees and teams to come together and collaborate in an organized and central manner. Project Managers can bring project collaborators together to centralize documentation, work, planning, and management, leveraging built in tools and/or apps. This guide will show you how to setup a new Team. In this particular scenario we are setting up a Team to centralize documentation and communications related to business processes. Setup the Team 1. Open Microsoft Teams and go to the Teams tab 2. Click "Join or create a team" at the bottom of the teams list 3. Click the "Create team" button 4. Give the Team a name and description 5. 7. When your Team is ready, you will see the below screen 8. Next, add members to your team and assign access levels Owner: Has full access rights to the team, including ability to add or remove members. Typically this is Managers and Supervisors Member: By default can post, upload, edit, and fully interact with the teams and conversations. Additional restrictions can be applied by channel if desired. 9. You can invite External individuals to the Team by entering their full email address and then click "Add ... as a guest". Guests have reduced access and functionality, but typically are able to effectively operate and access everything a member can. Additional restrictions can be applied if necessary. 10. Click close when done adding members and guests Your Microsoft Team is now created. You may want to create Channels to start organizing your team and collaboration efforts. Creating Channels Best practice for Microsoft Teams is to create channels for specific topics or areas of collaboration instead of using the General channel that is created when you setup your team. Channels can be public to the group or you can make them private and include on specific people. But keep in mind that you cannot change the type (private or public) after you have created the channel. 1. Click on the "More Options" (...) button next to your team name in the Teams list 2. Select "Add channel" 3. Name the Channel, set a description, and set privacy settings you can also check "Automatically show this channel in everyone's channel list" to ensure that this channel is always shown and not hidden for all team members. 4. Complete Add to complete the channel creation Setup Folder Structure 5. As an extra step, I will be adding a basic folder structure to this team so that files that are added can be well organized from the beginning. To do that I will go to Files in my new Channel 6. I'll add a few folders by click New and selecting Folder 7. Give the folder a name and then click Create Setup a Project or Planner Plan Since the team I just created relates to a project, I'm going to link it with an app that lets me manage projects. Office 365 has 2 native project management tools to choose from: Microsoft Project Online or Microsoft Planner. Though both are similar, Microsoft Project Online requires an additional license and for HPG IT to assign that license, though it is more functional and has more features. Microsoft Planner, on the other hand, is a free tool included with Microsoft 365, but may lack some more advanced features such as creating a road map for the project. There is also a few 3rd party applications that are compatible with Teams, such as Jira or Assana. I selected Microsoft Planner for this team. 1. In the General Channel, click the Plus sign at the top of the channel page 2. Search for Planner and then click the result to begin setup 3. Name your Plan and click Save 4. You can now create buckets for your team to organize their tasks and project workflow. Buckets are used as stages for tasks assigned to team members. Setup as many as you need, but try not to overdue it. Click Add new bucket and name it. 5. You can start adding tasks and assigning them to team members. 6. You can click on a task to edit it further, including adding a checklist, description, start date, progress, end date, images, documents, etc. Each task can have its own set of conversations and collaboration. Note that your new Plan or other apps are added as a tab to the channel, providing quick and easy access You can change the view of your plan to List, Charts, or Schedule to meet your needs Managing Permissions and Members If you need to remove members 1. click the "More options" (...) button next to the team name in the list of Teams 2. click manage team 3. From here you can Add, Change, or remove members If you need to change Guest access rights: 1. click the "More options" (...) button next to the team name in the list of Teams 2. click manage team 3. Go to Settings tab and then Guest permissions 4. Enable or disable as appropriate To Limit permissions to the General channel (or other channel): 1. click the "More options" (...) button next to the team name in the list of Teams 2. click manage team 3. Go to the Channels tab 4. Click the "More options" (...) button next to the channel in the list 5. Click Manage channel 6. Change the permissions as needed

Microsoft Teams: Microphone Not Working
How to control which apps can use the microphone Do one of the following: In Windows 10, go to Start > Settings > Privacy > Microphone. In Windows 11, go to Start > Settings > Privacy & security > Microphone. In Windows 10, ensure that Microphone access for this device, Allow apps to access your microphone, and the individual toggle for the Microsoft Store app you wish to use is turned on. If you do not see the app or website you're looking for in the list, it's likely a desktop app. Desktop apps cannot be individually toggled, but access for those apps can be controlled using Allow desktop apps to access your microphone. In Windows 11, ensure that Microphone access, Let apps access your microphone, and the individual toggle for the Microsoft Store app you wish to use is turned on. If you do not see the app or website you're looking for in the list, it's likely a desktop app. Desktop apps cannot be individually toggled, but access for those apps can be controlled using Let desktop apps access your microphone.

Teams: Using the Teams Conference Equipment
As of June 2022 HPG and Subsidiaries have begun to standardize the conferencing equipment used by the business. The below, though originally written for Debco, should closely resemble the steps for all subsidiaries. Step 1 Turn the TV using the TV Remote Step 2 Select the Teams input on the TV using the TV remote Step 3 Use the tablet on the table to start or join a meeting You can click join for a pre-scheduled meeting Select “Meet now” to initiate an impromptu meeting and invite others to join Control the meeting using the toolbar at the bottom of the tablet screen

Teams: Collaborate on Documents Together
Teams, SharePoint, and OneDrive are all tools that can be utilized when you want to Collaborate with individuals, groups, or team members. Similar to Google docs, documents stored within one of these 3 solutions enable you and others to access the same documents and workbooks at the same time. This guide will show you how to setup a document within Microsoft Teams and get started collaborating on your documents. Document Creation There are two methods of getting started, you can either start from scratch or you can use an existing file. This section will show you how to start from scratch. Open up Microsoft Teams Go to the Team that you want to collaborate with or set up a new team. For this guide I am using an existing team, HandStands Promo Select a channel or create a new channel. For this guide I am using the General channel Select the File tab Click New and Select Folder Give your folder a name and click Create Click your new folder's name to enter it Click New and select a file type from the list. For this guide I am using Excel Provide a name for the new File and click Create Click on the new files name to open it The file will open within Microsoft Teams by default. But you do have the ability to open it in the desktop application by clicking Open in Desktop App, located top center of the file page The file will open in Excel Note: Macro's and some advanced functions will not work outside of the Desktop App. Any member of the Team you created the file under is able to view and edit the document by Default. All you need to do is tell them where it is in the Team's file store or Provide a link to them. To provide a link, close the document by clicking Close. Now click the Actions menu icon for the file Select Copy Link Click the Copy button to copy the link to your clipboard. You can now paste (Ctrl + z) the link into any chat or message. Note: Only Team members can access links stored in a Team. Consider using OneDrive if the file needs to be shared more broadly. i.e. Multiple Teams or Non-Employees. There is nothing special you need to do for Collaborating with multiple people. Simply access the documents along with your team. When multiple people are accessing the document, you will see Icons on both the application Ribbon and at the location the other team members are positioned within the document. Existing Documents For existing documents, simply copy and paste the file into the Teams file folder. For Word, Excel, PowerPoint, and Visio files there is no additional steps required. Exporting from Google Docs You can export your Google Docs and Sheets and place them into Teams, SharePoint, or OneDrive with a few simple steps. Open the file that is store in Google Click File and Go to Download and select the Microsoft Document type. This will download the Microsoft version of the Google file. You can copy and paste it (or drag and drop it) into the desired Microsoft Teams file store.

Teams: Invite a Guest to the Organization
Teams allows employees to invite persons to Teams utilizing their personal email address. Guests will have limited accessibility and may not be able to do much more than communicate with individuals and team members. If you find the limited access is not sufficient, they will need to be assigned a company account. This guide will show you how you can invite a guest to your team. Open Microsoft Teams and go to the Team/Group that you want to add the employee to. (In this example I am using the BCG team) Click ... (more options) Click Manage team Click Add member Type the full email address of the Guest you are adding, then click the Add .... as a guest option that shows up Click the Add button to finilize the guest invite After a brief wait, you will see the following message under your newly added guest: You can close the Add members window The guest will receive a message from Microsoft Teams that looks like the below: Your guest will need to click "Open Microsoft Teams" to complete the setup. Once complete, they can install teams on their preferred device. Note: HPG IT does not control the guest's credentials. They will either setup a new password or will utilize the password they use to access their personal email. In some cases, they will utilize a password less authentication method where they are emailed a password each time they are required to authenticate. HPG IT cannot assist guests with login issues.

Microsoft Teams: Manage Your Availability Status
Ah, the ever-elusive quest to tame the wild status-changing beast in Microsoft Teams! 🦁 Fear not—We’ve got you covered. So, here’s the scoop: Microsoft Teams can be a bit like an overenthusiastic puppy when it comes to adjusting your availability status. It’s all about trying to be helpful, but sometimes it gets a little too eager. Let’s rein it in, shall we? The Automatic Away Mode Dance: Teams likes to play a game called “Guess Your Availability.” It looks at your activity and decides whether you’re available, busy, or perhaps off on a tropical vacation (okay, maybe not that last one). After about 5 minutes of inactivity, it nudges you toward “away” status. Sneaky, right? And if you’re in a meeting according to your Outlook calendar, it’ll slap on the “in a meeting” label. Outlook and Teams are like BFFs who share secrets. Manual Override: Now, you might be thinking, “Hey, Teams, I’m the boss here!” And you’re right—you can manually set your status. So, if you want to be “Available” even when you’re sipping coffee and pondering the mysteries of the universe, go ahead and choose that status. But beware: The manual setting only holds until your next Outlook calendar entry. It’s like Teams saying, “Okay, fine, you win this round, but I’ll be back!” Duration Override: You can set a timer for your availability that should ignore your calendar. Click on your profile picture in teams, go into the status options, and select Duration. Set your status and the duration you want to maintain that status before clicking done. The Sad News: Unfortunately, there’s no official switch to disable Teams’ auto-away mode. It’s like that one stubborn light switch in your house that you can’t find. But hey, you’re resourceful! You can still manually set your status and keep it that way. Just remember to adjust it if you’re truly busy or off to that tropical vacation (lucky you!).
